Kuska Autism Services
Staff running the same manual workflows 15 minutes at a time, plus a monthly process that consumed a full hour to harden.
The Problem
Kuska Autism Services runs daily intake and scheduling workflows that require staff to manually cross-reference client records, verify insurance authorizations, and update multiple tracking systems. Each cycle took 15 minutes — and staff ran it several times a day. The process was entirely manual with no validation or error checking.
On top of that, a monthly compliance hardening process consumed a full hour of a senior staff member's time. It involved reconciling service logs against billing records, flagging discrepancies, and producing an audit-ready summary. Any mistake meant rework and compliance risk.
What I Built
- →Python automation scripts replacing manual intake and scheduling workflows
- →Automated cross-referencing of client records and insurance authorizations
- →Monthly compliance reconciliation pipeline with discrepancy flagging
- →Validation logic to catch data entry errors before they propagate
The Outcome
- ✓Daily workflows: 15 minutes → under 5 minutes (67% time savings)
- ✓Monthly hardening: 1 hour → 20 minutes (67% time savings)
- ✓Staff now focused on client care instead of data entry
